About Zero Stray Pawject, Inc.
Zero Stray Pawject is an innovative non-profit organization dedicated to advocacy, public health, education, and animal welfare. Our mission is to solve the root causes of stray dog and cat populations and prevent animals from ever ending up stray, homeless, or on the streets.
We design, implement, and evaluate evidence-based programs led by an international team of experts in public health, law, veterinary medicine, animal welfare, business management, and economics.
We work hand-in-hand with municipalities, mayors, law enforcement, the judiciary, commercial veterinarians, animal welfare organizations, and schools to deliver sustainable prevention programs that reduce stray populations and create lasting societal change. Every initiative is guided by clear KPIs to ensure measurable impact.
Building on our successful proof-of-concept in Aegina, we launched a pioneering pilot program in Crete to systematically reduce stray dog and cat populations. Working closely with municipalities, law enforcement, and local communities, we provide free or subsidized neutering, microchipping, and DNA services to pet owners from vulnerable groups (low income, unemployed, and more), agricultural farmers, and hunters, ensuring all companion animals are responsibly cared for and registered according to the companion animal welfare legislation 4830/2021.
To address gaps in veterinary access in rural areas, we offer free veterinary care, supporting pet owners to maintain companion animal health responsibly.
Our team also partners with Greece’s first Animal Police Department and leads island-wide responsible pet ownership campaigns via TV, radio, outdoor media, influencers, and social media. Weekly field clinics in municipal buildings have received strong community engagement, and we plan to expand to more communities across Crete from 2026 to 2030.
About the Role
The Reception Assistant supports the Reception Manager in coordinating administrative and operational activities for veterinary action days. This role ensures smooth workflow, accurate data entry, and excellent client support, helping maintain the efficiency of field clinics. The Assistant works closely with the Reception Manager, veterinary assistants, and field staff to facilitate seamless operations.
Location: This role requires relocation to Crete, Greece.
Language: Greek and English are mandatory.
Key Responsibilities
Pre-Action Preparation
Assist in organizing and maintaining a clean and fully stocked reception area.
Support the creation of municipality-specific vouchers, forms, and informational materials.
Assist in distributing public-awareness materials for action days, including posters, flyers, and digital content, to ensure clear communication with pet owners and the community.
Client Support
Greet clients and provide clear instructions about procedures, obligations, and required steps.
Assist in managing priority numbers and follow-up scheduling.
Help confirm microchipping requirements and coordinate with veterinary assistants.
Support the collection of informed consent forms, ensuring proper filing and organization.
Data Management
Support registration and updates of animals in the National Pet Registry (EMZS).
Verify accuracy of pet owner and animal profiles, including sterilization and DNA submission updates.
Assist with ZSP reporting databases and ensure timely data entry during field clinics.
Assist and guide pet owners with the issuance of administrative fee receipts (e-paravolo), ensuring proper understanding of the process and accurate documentation.
Assist in weekly audits of registry data to ensure accuracy.
Qualifications
University degree, 3+ years of work experience in Office administration / secretarial work, and Customer service.
Strong organizational and administrative skills
High attention to detail and accuracy
Ability to work under pressure in fast-paced environments
Excellent communication skills with a patient and supportive approach
Basic understanding of veterinary procedures (helpful but not required)
Confidence in using digital management tools (e.g., Microsoft Office, EMZS)
Ability to manage digital filing systems
Accurate data entry and record-keeping skills
Experience updating client records and maintaining databases
Strong teamwork and collaboration abilities
Proactive, reliable, and responsible work ethic
Flexibility and adaptability to changing needs
Professionalism, discretion, and a high level of confidentiality
Flexibility to travel across Crete for rotating clinics.
